DocuMate 520 Scanner User’s Guide 65ScanningScanning with Optical Character Recognition (OCR)Optical Character Recognition (OCR) converts text and numberson a scanned page into editable text and numbers. You can thenwork with the text and numbers to edit, spellcheck, change font ortype size, sort, calculate, and so forth.You must have the OmniPage Pro software installed on yourcomputer in order to use the OCR options with the One Touch 4.0software and your scanner. OmniPage Pro is on the Disc 2 CD thatyou received with your scanner in case you haven’t installed it yet.If OmniPage Pro is installed, the OCR process is automatic whenthe format on the One Touch Properties window is a text format,such as DOC, TEXT, XLS, HTML, RTF, sPDF, and nPDF.To scan with OCR:1. Load the pages into the scanner.2. Press the button on the scanner, or on the One Touch ButtonPanel, that has a text format set as its page format.The Scan button is preset with PaperPort as the DestinationApplication and a text format for the page format. It will convertscanned documents to editable text.3. Click the Scan button, or if you’ve set up one of the otherbuttons for scanning with a text format, click it instead.Your scanned pages appear in the Destination Application withtheir text ready for editing and other text processing.NOTE: Xerox recommends that all OCR processing use theoriginal factory settings for OCR scanning that came with yourscanner. When scanning with other settings, use at least 300 dpifor the resolution. If the original documents are of poor quality orhave a small type font, 400 dpi can be used as the maximumresolution.NOTE: OCR scanning is also for spreadsheets so you can workin Microsoft Excel (or other spreadsheet applications) with thefigures and text from the original spreadsheets. Set up a buttonwith Microsoft Excel as the Destination Application and XLS asthe page format. When you scan a spreadsheet, it will open inExcel with its text and figures ready to be edited.
