Beforethat, the system uses the default language.ï Select Add port if required to have the system reserveadditional ports to accommodate unanticipatedparticipants. The system adds ports only if available (thatis, if they are not reserved for another conference).ï Select Keep one port for the chairperson to reserve aport for the chairperson. If this box is not selected, thesystem makes ports available on a first-come, first-servebasis. In this case, if all the ports are in use when thechairperson tries to join the conference, the system doesnot allow the chairperson to enter the conference. Bydefault, this option is enabled.6. To set up a recurring conference, select Recurrence and set up therecurrence parameters using the recurrence functionality in MicrosoftOutlook.Do not schedule more than 52 occurrences of a recurring conference.If you need to schedule more than 52 occurrences, schedule aseparate recurring conference with the additional occurrences.Do not schedule any occurrence of a recurring conference more thanone year in advance. All occurrences of a recurring conference withone or more occurrences scheduled more than one year in advancewill not be saved.7. Select Save and Close for an appointment, or select Send for ameeting.If the scheduling is successful (that is, all resources are available),ICB scheduling is updated automatically. A window opens showingthe conference parameters, including access numbers andpasswords (see Figure 30 on page 66). Conference and accessinformation is e-mailed to the invited parties and added to theirMicrosoft Outlook calendars.
