A company in the heart ofa major city is typically spending large sumsjust to pay for the floor space toaccommodate filing cabinets.Commercial print for pay businesses arealready capitalizing on this trend by offeringscanning bureau services, from the mostbasic archiving of legacy files to CD, throughto data merging and intelligent storage withindocument management applications.The Océ VarioPrint 1105 is wellequipped to assist both the print for paybusiness looking to capitalize on this trendand the in-house CRD operation.The large 100-sheet document feeder, whichcan scan at speeds up to 103 originals perminute, is well suited to handle this scanningworkload.Within the scanning applications that comewith the Océ VarioPrint 1105are scan to email, scan to SMB, scan to FTPand scan to HDD functions. Operators canchoose to scan in resolutions between100dpi, 200dpi, 300dpi, 400dpi and 600dpi,sending the file in either a TIFF or a PDFformat. The file can also be assigned aname, using the built in QWERTY keypad onthe touch screen.The scan to email function, while valuablefor the front office is less likely to find muchuse in the back office environment.The scan to SMB (for Windows networkenvironments) and scan to FTP (whichopens up scanning to a much wider range ofnetworked environments) are more likely tobe used in a back office setting.While the device itself does not offer anyintelligent scanning via on the fly metadataor direct integration with middlewareapplications linked to documentmanagement applications, there are plentyof scanning and workflow applications thatcan be used.There are two main approaches. Onemethod is based on software that supportshot folders and a series of workflow tasksassigned to them. The VarioPrint 1105 issimply set to scan files directly into the hotfolder using either scan to SMB or FTP,leaving the software application to carry outthe remainder of the workflow automatically.The alternative is to use a header sheetmethod of intelligent scan workflowapplication. In this instance, the operator, orthe user, before they send the job down toCRD, would create a header sheet using atemplate application. This cover sheetusually contains a bar code, which holds themetadata relating to the specific scan job.The documents are then scanned againusing the header sheet as the routingcommand. The job is scanned into a hotfolder where an application interprets the barcode and carries out the instructions.Scan
