Hotel User Guide Basic Administration30Using a Standard TelephoneIt is convenient to allow cleaning and maintenance staff to be able toset and change the room ‘cleaning/maintenance’ status when theyhave inspected, cleaned or repaired a room. To do this, a HOTELkey with restricted feature access can be assigned to room exten-sions if they are display keyphones (see section 3, Using the HOTELKey).However, since most guest rooms are likely to have standard tele-phones, the procedure described below requires that a HOTEL ac-cess code be programmed which can be dialled from the extension,allowing staff to enter the required ‘activity’ code.Ask your manager if you don’t know the HOTEL code. (Enter thecode here: ) You may also need your staff code.PROCEDURE1. Lift the handset and dial the HOTEL code.2. Enter your staff code (if requested).3. Enter the activity code number. It is one of the following:Code Activity0 Room needs cleaning1 Room cleaned2 Room needs maintenance3 Room repaired4. Hang up when you hear the ‘confirm’ tone.If a room is flagged with ‘0’ or ‘2’, it cannot be checked in to until ‘1’or ‘3’ is entered to indicate the required activity is complete. Settingthe flag to ‘1’ or ‘3’ sets the room back to its previous status (‘Avail-able’ or ‘Occupied’).
